Features
Inventory, quotes, contracts, payments, and the day of the job, written for the person who runs the shop.
Inventory and packages
Keep the gear you rent, the packages you sell, and the photos that go on the quote.
- Add each rental with a price, tax, and photos. Record how many you own, how many are in repair, and how many are lost, plus a cleaning buffer and the crew that item needs.
- Sell a package at one price. The desk checks stock on the pieces inside it.
- Add labor, fees, discounts, trucks, and delivery as their own lines.
- Keep photos on the items and in a shared library. Import a folder and see which files did not match. Quotes can show the photos.
- Hold a quantity out of availability between two dates.
- Save a barcode on an item and find that item by searching for it.
Availability and double-booking
Each quote line shows free, warning, or short, and a shortage can stop the quote from going out.
- Each line shows free, warning, or short from what you own, minus repair, lost, set-asides, and other bookings.
- Put a soft hold or a hard hold on a quote for a set number of days. A signed quote that is waiting on the deposit can use a stricter hold.
- A shortage stops a new line and stops the quote from going out. The first successful payment books the job when the gear is still free.
- An owner can still send a short quote after typing a reason.
- Set a cleaning buffer so a returned item is ready before it is offered again.
Quotes, contracts, change orders, and invoices
Build the quote, send a private link, and let the client sign on that page.
- Build a quote with a client, a venue, dates, and lines. Send it as a private link and a PDF.
- Set or clear an expiration date. The shop default of 14 days is one choice. After that moment the client cannot sign.
- The client reviews the terms and signs on the quote. You keep a contract PDF, and the invoice is created from that signature.
- After the client signs, open a change order when the price, dates, venue, or delivery changes. They sign again, and the same invoice is updated. An internal note stays internal.
- Print the quote from the browser. Stored PDFs cover the quote, the contract, and the invoice.
- Add a damage waiver as a percent of the rental. Make it optional or required, and taxable or not.
Payments and deposits through Stripe
Collect the deposit or the balance on the quote you already sent, once Stripe is connected.
- Choose what is due at signing: a percent of the total, a minimum, or a flat amount. Inside a full-payment window, the whole total is due. The balance is due a set number of days before delivery, pickup, or the event.
- With Stripe connected, the client can pay by card, bank transfer, Apple Pay, or Google Pay. Card and bank numbers stay with Stripe.
- The client pays the quote you already sent. They open the private link, sign, and pay the deposit or the full amount. That payment books the job when the gear is still free.
- An owner or a manager can refund all or part of a payment. A Stripe payment is refunded through Stripe.
- You can pass a card-processing fee to the client. A bank transfer does not add that fee.
Customers, notes, and reminder emails
Keep the people you bill, the places you deliver, and the follow-ups you still owe.
- Save clients and venues. Mark a client tax exempt, add extra contacts, and store a billing address.
- Add a staff note or a follow-up task on a client or a project. Today shows what is overdue, due today, or due within 7 days.
- Mark a client do-not-rent so they stay off new projects and quotes.
- Quote, contract, invoice, receipt, invite, and reminder messages wait in an Outbox, and you can retry one that failed.
- Send quote follow-ups, deposit and balance reminders, an overdue note, a thank-you, and an event confirmation when email is turned on. Turn any of them off for a single job.
Delivery, dispatch, and pull sheets
Put delivery, pickup, or will-call on the job, then run the day from a board and a pull sheet.
- Add a delivery, a pickup, or in-store carry-out. Set the window, the address, the truck, and the crew.
- Price miles and drive time from your shop rates, or let Google fill the miles when a maps key is set.
- See one day on the dispatch board: a column per truck, plus stops that still need a truck. Open a maps link, the drive time, the crew, and the pull sheet from there.
- See a warning when a truck is already busy on an overlapping window, and a note when the crew is short or the turnaround is tight.
- Pull from the quote. Check items out and back in, and put damage or missing pieces on the same invoice. The sheet shows Paid or Balance due.
- Print the pull sheet or download it as Excel. The printed sheet includes a QR code that opens the pull page.
- Assign people to a delivery or a pickup.
Calendar, today, and reports
See the month, the week, or today, and download the reports you use to close the books.
- Month, week, and day views are colored by status. Filter by status, truck, and whether the row is an event, a delivery, or a pickup. Lost and canceled jobs stay off the calendar.
- Warehouse and driver see only the jobs they are on, without prices.
- Today shows what is going out, what is already out, money that is due, and follow-ups.
- Download CSV reports for booked versus collected, cash, aging, balances due, tax by city, revenue by category, top items, utilization, and quote conversion.
- Owner, manager, and accountant can open the reports and download them.
Staff roles and security
Give the office, the warehouse, and the drivers their own access.
- Roles are owner, manager, sales, warehouse, driver, and accountant. Warehouse and driver do not see prices. Only the owner opens Settings, Users, and Import.
- Invite someone by email, and reset a password from Users.
- Turn on two-factor sign-in with an authenticator app.
- The owner can read an audit log of who changed what.
- Keep PDFs and uploads with the job. A signed contract file stays as it was signed.
English and Spanish client pages
Send the client page in English or Spanish, and run the desk in either language.
- The page a client opens follows that client’s language, English or Spanish.
- Staff can run the desk in English or Spanish.
CSV import when you switch
Move clients, gear, and past bookings in from a spreadsheet when you switch.
- Import one CSV at a time: clients, venues, items, packages, package contents, then bookings.
- Preview the file before anything is saved. Duplicates are skipped. A booking that conflicts is reported and left out.
- Column matching is a best effort, including a Goodshuffle export. Save a mapping and reuse it.

Questions
What is not in the product yet?
There is no public booking page or quote cart, no text messages, and no mobile app. There is no autopay, no late fee on the invoice, and no card hold for a security deposit. The deposit you collect is part of the rental total due at signing. There is no live Goodshuffle sync, no time clock or payroll, and no QuickBooks or Xero connection. The coming-soon list on this page names the rest.
